How to Find the Right Caterpillar Part Number – and Where to Order It

Ordering the wrong heavy-equipment part wastes more than money.

It can mean additional downtime, return freight, delayed repairs and lost production.

Before ordering a replacement Caterpillar® part, identify as much information as possible about both the machine and the component you need.

How Do I Find the Correct Caterpillar Part Number?

The fastest starting point is usually the existing part number, together with your machine’s model and serial number or serial-number prefix.

If the part number is unavailable or unreadable, a specialist parts supplier may still be able to identify the component using machine information, photographs and details about where the component is fitted.

Ideally, provide:

  1. Machine make
  2. Machine model
  3. Machine serial number / serial prefix
  4. Existing part number, if available
  5. Description of the component
  6. Clear photographs
  7. Where the component is located on the machine
  8. Any casting, identification or reference numbers visible on the old component

The more information you provide, the easier it is to accurately cross-reference the replacement.

Where Can I Find My Machine Serial Number?

The location varies according to the machine type and model.

Look for the machine’s Product Identification Number (PIN), serial-number plate or identification plate.

Do not assume that two machines with the same model designation necessarily use every identical component.

Machines can change during production, which is why serial-number information is extremely important when identifying replacement parts.

Can I Use the Number Printed on the Old Part?

Often, yes — and you should send it to your parts supplier.

However, numbers appearing on components can sometimes be casting numbers, superseded references or manufacturing identifiers rather than the current orderable part number.

For this reason, providing the part number AND machine details is preferable to relying on a number alone.

What If My Caterpillar Part Number Has Been Superseded?

Heavy-equipment part numbers can change over time.

A manufacturer may replace an older number with a newer or superseding reference.

That does not necessarily mean the original component is unavailable.

An experienced parts specialist can cross-reference the old number and determine whether a current replacement is available.

Can Aftermarket Parts Use the Same Reference Number?

Replacement-parts suppliers commonly use OEM part references to help identify the component their product replaces.

This allows a parts specialist to cross-reference the original number against an available replacement.

At TGS, our team can use your machine and part information to help identify an appropriate replacement from our available product ranges.

What Information Should I Send When Requesting a Quote?

A good parts enquiry could look like this:

Machine: Caterpillar D9T
Serial prefix: [insert prefix]
Part required: Track component
Part number: [insert number]
Quantity: 2
Location: Mpumalanga
Urgency: Machine down
Photos: Attached

This immediately gives the parts team significantly more information than:

“I need a part for a D9.”

When a machine is standing, those details can save valuable time.

Why Is the Serial Prefix Important?

The same machine family can have different configurations, production changes and component specifications.

For example, CTP’s published application data for certain undercarriage products maps replacement components not only to machine models but also to specific serial prefixes.

This illustrates why model information alone may not always be sufficient.

What Happens If I Don’t Know the Part Number?

Don’t guess.

Instead, send TGS:

  • Machine model
  • Serial number
  • Photos of the component
  • Photos showing where it fits
  • Any visible numbers
  • A brief description of the problem

Our parts specialists can then work with the available information to help identify what you require.

TGS is also the authorised and exclusive CTP importer, wholesaler and direct-to-end-user distributor in Southern Africa.
